Location – Peterborough, Cambridgeshire
QRS are currently recruiting on behalf of Inspire Education Group for a temp to perm Evening Receptionist.
To provide an effective, comprehensive and professional reception service to all customers as well as carrying out other customer services roles as necessary.
- Supervise and manage the efficient operation of the reception service. Including enquiries from customers and visitors, greeting, providing badges, notifying staff of visitors’ arrival and directing visitors appropriately, ensuring an efficient reception service is maintained
- Provide good customer service at all times, dealing with all enquiries in a professional and courteous manner, in person, on the telephone or via email. Be responsible for the management of the College switchboard out of hours.
- Manage and coordinate a service for the posting and the franking of mail for the college and its partners and ensure its collection, liaising with Royal Mail as necessary. Be responsible for the operation of the franking machine ensuring it is in credit and inform finance of monies owed to enable cross charging of budgets. Also, to ensure the accurate, efficient assigning and usage of funds.
- Provide information, data and reports as required i.e. franking statistics
- Raise requisitions when required
- Record effectively all taxi bookings made through reception, raise requisitions as required and to ensure invoices are processed appropriately
- Maintain an efficient, well organised, tidy reception. To monitor and maintain displays and stocks of publicity material in the reception area.
- Monitor the daily running of the ID badge systems and attend training updates as required. Deactivate and reactivate cards on request updating and referring to all relevant college systems. To print cards where required and to cash any money received from the sale of cards.
- During non-core opening hours, be the point of contact for transport enquiries and liaise with all parties keeping them informed until a resolution has been found
- Operate the college switchboard as and when required
- Log enquiries on the college record systems
- Provide reception training for staff as required
- Carry out all H&S duties identified as Receptionist responsibilities in Section 3 of the College H&S policy. In addition, notifying all responsible staff regarding fire, panic and first aid alarms / calls immediately and carrying out delegated H&S procedures
- Receive and file educational visit forms and DP forms
- Liaise with appropriate staff regarding day or evening events that are taking place in the college and communicate this to the wider team
